The Executive Coordinator provides high-level administrative and organizational support to members of the Senior Management Team (SMT). The Executive Coordinator supervises the Office Administrator and assists them with overall front office activities, including reception, facilities management, and providing arrangements for office meetings.
Responsibilities:
• Provides administrative support to the Vice President of Advocacy, including maintenance of the Advocacy calendar and document management.
• Provides administrative support to the Vice President of Advocate Resources & Training (ART) and ART Program Coordinator, including Continuing Legal Education accreditation and reporting, course registration, and contact management.
• Serves as logistics lead for Shriver-related conferences and events within the Advocacy and ART departments.
• Manages transfer of knowledge projects for departing staff members.
• Assists with administrative needs of SMT as required.
• Prepares materials for Board of Directors meetings.
• Records and distributes minutes for Board of Directors, Finance Committee, and Investment Committee meetings.
• Supervises Office Administrator, evaluating performance and providing opportunities for professional development.
• Assists with management of the reception area and provides front desk coverage when Office Administrator is unavailable.
• Helps supervise the maintenance of office facilities, including building management and managing repair requests.
• Participates as needed in special department projects.
• High school diploma.
• At least two years of previous administrative and/or office management experience.
• Proficiency in Microsoft Office.
• High level of interpersonal and communications skills, both written and verbal.
• Must take initiative and be capable of multi-tasking.
• Outstanding organizational skills and attention to detail.
