Overview
Start Date: January 2025
Location / Work Style: In-person onboarding in Philadelphia or NYC; hybrid thereafter with periodic in-person work (approx. 2-8 days/month) in Philadelphia
Compensation: $65,000–$80,000
Type: Full-time
Reports to: Executive Director
Role Summary
The Operation Associate supports day-to-day execution across partnerships, finance, operations, and hiring logistics in a growing startup nonprofit environment.
This role is best suited for someone with strong operational fundamentals who is ready to build experience and take on increasing responsibility over time. You will work closely with leadership, support core workflows, and help move work forward when timelines are tight or priorities shift.
Core Responsibilities
Support general operations (solve operational problems on a weekly basis).
Assist with funder reporting, audits, and compliance workflows
Support hiring logistics for fellow cohorts and short‑term roles (2x/year)
Maintain operational systems, trackers, and documentation as needed
Assist in clearing operational backlogs and meeting deadlines
Bonus: financial operations, including expense tracking, payroll coordination, reconciliations, and grant allocations

This role operates with guidance and support from leadership. Over time, the Associate is expected to:
Develop stronger situational awareness across the organization
Take increasing ownership of execution
Demonstrate judgment about when to act versus escalate
Working at an Early-Stage Organization
Early-stage organizations can be rewarding — and they can also be fluid, interrupt-driven, and demanding. This role requires comfort with shifting priorities while maintaining strong follow-through and attention to detail.
This role may be a harder fit if:
You need stable, highly defined scopes of work to feel effective
You prefer to wait for clear ownership, permission, or full context before taking action
You are most comfortable optimizing processes rather than moving work forward under time pressure
You find ambiguity stressful rather than solvable
You expect priorities to remain fixed quarter to quarter
If you enjoy problem-solving in dynamic environments, exercising judgment about when to act versus escalate, and helping organizations move forward even when conditions aren’t perfect, this role may be a strong fit.
Location & Work Style
This is a hybrid role with required in-person work.
In-person onboarding is required and may take place in Philadelphia or New York City
Following onboarding, the role is expected to include periodic in-person work (approximately 2–8 times per month) in Philadelphia.
We welcome candidates based in the NYC / New Jersey / Philadelphia region or nearby areas who can reliably travel for required in-person work.
We believe early-stage operational work benefits from proximity, shared context, and high-touch communication.
