Position Description: 

The Fiscal Clerk provides bookkeeping support to the organization. This position reports to and receives direction from the Director of Fiscal Services and works closely with the Fiscal Officers for Accounting and Operations. The Fiscal Clerk is responsible for a variety of bookkeeping duties including processing Accounts Payable, assisting with Payroll and payroll-related functions, and supporting general Fiscal operations. Although the majority of the work will involve performing bookkeeping activities, the Fiscal Clerk may be called upon to complete other general clerical tasks.

DUTIES:
• Promptly and accurately process Accounts Payable vendor invoices for payment, communicate with vendors when necessary, and maintain vendor files;
• Review accounts and statements for proper payments and charges; prepare adjustments to accounts and resolve discrepancies between payments, receipts, or accounts;
• Monitor, review and reconcile Credit Cards and obtain supporting documentation for all charges;
• Reconcile Petty Cash and review monthly reports of expenditures;
• Accurately maintain and promptly update employee information in the Payroll system including important dates, salary information, timesheets, and benefits;
• Assist with the preparation and processing of Payroll;
• Assist with the Maintenance of fiscal records, including monitoring Budgets, Contracts and accounts, checking records for arithmetic errors and completeness of budget codes, and preparing forms to transfer funds;
• Monitor the Fiscal Operations Email Inbox and route requests accordingly;
• Receive, review and process Accounts Receivable and Bank Deposits;
• Perform Data Entry for General Ledger Accounting;
• Assist with the annual Audit, information requests, and staff training;
• Obtain information from the public including vendors, as well as provides information concerning accounts, contracts, budgets, and financial transactions;
• Operate office equipment, including ten-key, computers, copy machines, printers, multi-line modern telephone systems, fax machines, scanners, and other equipment;
• May perform other duties as assigned and other clerical tasks including typing, filing, processing and maintaining records, composing and editing reports and correspondence; delivering or picking up materials.

Requirements: 

• One (1) year of full-time, paid bookkeeping experience OR a certificate of completion from an accounting/bookkeeping program obtained from an accredited college or university, OR the completion of fifteen (15) semester units of accounting coursework, that is acceptable within the United States' accredited college or university system, may substitute for the required experience.
• Knowledge of:
o Bookkeeping methods and terminology;
o Basic office practices, procedures, and terminology;
o Common spreadsheet software;
o Basic alphanumeric filing systems and record-keeping practices;
o Basic mathematics such as addition, subtraction, multiplication, division, decimals, fractions, and percentages;
o Correct grammar, spelling, and punctuation;
o Principles and practices of effective customer service.
• Learn and apply the policies and practices of CCLS’s Fiscal Department;
• Perform basic mathematical computations;
• Alphabetize, file, and maintain various financial records;
• Interact tactfully and courteously with the public, clients, vendors, and fellow staff;
• Operate modern office equipment including computer hardware, software, and internet- and web-based applications;
• Understand and carry out oral and written instructions;
• Communicate clearly and concisely, both orally and in writing;
• Establish and maintain effective interpersonal relationships at all organizational levels as well as with the public;
• Display a high degree of maturity, integrity, and good judgment.
