Position Description: 

Mid-Minnesota Legal Aid (MMLA) is seeking a full-time Office Manager to work in its Minneapolis office. This position requires an in-office work environment, with the potential for hybrid work in the future based on need, and will start as soon as possible after an offer is extended.

BACKGROUND: MMLA's mission is to advocate for the legal rights of disadvantaged people to have safe, healthy, and independent lives in their communities. MMLA provides civil legal representation to clients with low incomes and seniors in 21 counties in central Minnesota, and to people with disabilities throughout the state. MMLA receives funding from a variety of public and private sources and enjoys strong support from the organized bar.

RESPONSIBILITIES:

Communicating and helping resolve building maintenance requests for repairs, both landlord related and vendor issues (e.g., copy machines, water dispensers, etc.)
Monitoring safety needs across the office (office incidents, cameras, building security, office hazards)
Assisting with management of physical office assignments
Managing the storage and purchase of office furniture and equipment
Assisting management team with contract review/renewal/monitoring
Prepping and transferring files to storage
Following procedures for file destruction
Ordering and managing storage of supplies
Assisting with the management of Legal Kiosks across the state
Managing and maintaining Legal Library
Assisting management team in tracking and maintaining compliance documents and training requirements
Managing vendor relations
Coordinating, storing, and stocking outreach materials
Ensuring safe closure of office at the end of the day
Distributing and managing petty cash
Light cleaning and rearranging of office furniture and storage
Other duties as assigned

SALARY: $50-510 – 60,064 per year, depending on experience, plus benefits. Benefits include family medical and dental insurance, short- and long-term disability, life insurance, 403(b) with employer match, FSA, employee assistance programs, and generous paid time off.

QUALIFICATIONS:

Minimum Qualifications:

3+ years experience with office management or general management position
Ability to respond to requests efficiently and effectively.
Excellent written and verbal communication skills.
Excellent attention to detail.
Ability to work with outside vendors effectively.
Ability to collaborate with team members.
Proficiency using Microsoft Office required.
