Position Description: 

JOB SUMMARY: The Legal Assistant/Paralegal will provide administrative and legal support services to the Legal department.

KEY RESPONSIBILITIES:

1. Contract and document tracking – review monthly Board Meeting Agenda/Resolutions and prepare document requests for all contracts authorized by the Board. Log all document requests into the Contract Log as they are processed through the Law Department, other CRDA Departments and forwarded to vendors. Draft/prepare correspondence to vendors enclosing contracts for execution (requesting proof of insurance and completion of Form W-9). Monitor vendor response and follow up with vendors via telephone/written correspondence as necessary. Draft/prepare correspondence to vendors enclosing fully executed contracts. Maintain vendor insurance log and hard copy of current vendor insurance certificates. Monitor gubernatorial veto period to assist Department attorneys in ensuring vendor contracts are executed timely.

2. Real estate closing documents – assist in drafting all real estate closing documents for Department attorney review based upon Document Requests received by the Planning and Development department, including Contract for Sale of Real Estate, Deed, Affidavit of Consideration, Affidavit of Title and Seller’s Residency/Non-residency Certification. Draft/prepare correspondence to Sellers enclosing Agreement of Sale and any other closing documents. Maintain Real Estate Acquisition Log for each Project and all properties within each Project; monitor and follow up with Department attorney and Planning and Development department as required.

3. Contract administration – maintain file log (electronic and hard files) for all original contracts to which the Authority (and any of its Divisions) is a party. Respond to in-house requests/inquiries regarding the status of contract completion. Scan all fully executed contracts into contract database for access by Authority staff.

4. Department administration and support – maintain calendar of, schedule meetings and conferences for, and otherwise provide general administrative support for, the General Counsel and other Law Department Staff, Order/maintain department supplies; prepare purchase requisitions as needed and forward to Purchasing Agent.

5. Other related duties as assigned.

Requirements: 

• Paralegal certification from an ABA-accredited program strongly preferred. Bachelor’s degree from an accredited institution preferred.
• At least seven (7) years of administrative and paralegal experience in a law department or firm.
• Previous administrative and paralegal experience in the following substantive areas of law preferred: commercial contracts, environmental regulations, and real estate.
• Attention to detail and maintaining strict confidentiality at all times.
• Excellent judgment; know when to seek clarity and/or assistance.
• Pleasant attitude (excellent “people skills”); ability to work with diverse groups of people; ability to complete assignments by working independently and as part of a team.
• Excellent organizational skills and the ability to prioritize work; ability to multi-task.
• Ability to work under pressure to meet deadlines.
• Self-motivated and possess the ability to learn quickly.
• Computer proficiency and working knowledge of Microsoft Office suite of products.
• Excellent verbal and written communication skills with the ability to communicate effectively across the Authority with all departments; strong English language skills.
• Ensure compliance with all Authority policies and procedures as well as State, Federal, and local regulations.
• Ability to respond efficiently and effectively to quickly changing priorities and responsibilities.
• Notary public desired.
