DESCRIPTION OF DUTIES: This position is located in the Child Support Services Division, Director’s Office, Office of the Attorney General (OAG). The incumbent will serve as the principal liaison to the Assistant Deputy Attorney with administrative, management, and program matters as it pertains to the operation of the office.

Incumbent’s duties include:

• Serves in a liaison capacity, assisting as necessary to resolve immediate concerns as they may occur. Receives telephone, correspondence and personal inquiries on a variety of matters affecting the office, including policy and operations.

• Responds to inquiries and administrative issues. Notifies the appropriate staff members of the need for information or recommendations and either prepares the response or follows up to ensure a timely response by others. Assists with the compiling of reports and analyzes statistical data on translation and interpretation services provided by District agencies to determine trends and to identify problem areas which require intervention by Office of the Attorney General for the District of Columbia.

• Drafts and prepares correspondence as assigned by the supervisor and is primary responsible for researching and processing documents for the Deputy and Assistant Deputy of CSSD. Serves as a timekeeper and point of contact for the agency regarding time and attendances issues. Reviews and processes on a bi-weekly basis, all time and attendance forms, as well as, the processing and distribution of stipends on a monthly basis.

• Serves as liaison between the office and the payroll office. Reviews regulations and legislation affecting time and attendance matters and disseminates information to the Deputy and staff, as appropriate. Prepares and publishes a bi-weekly matrix of scheduled leave and absences from the office.

• Analyzes and evaluates issues and activities to resolve problems and improve work processes. Convert inquiries into issues, gathers data, and prepares recommendations on the resolution of issues and concerns. Makes recommendations regarding office management improvements and procedures and prepares reports of findings. Investigates problem areas; makes recommendations for solutions; and assures that appropriate staff takes necessary action to resolve problems.

• Initiates and conducts a variety of special projects and studies requiring the application of analytical principles in the preparation of interpretive statistical and basic information for use and evaluation of agency programs.

• Assists in planning meetings, retreats, and conferences.

• Responsible for the ordering, distribution, and upkeep of supplies.

• Draft letters, memos, and other correspondence.

• Assist with filing and organizing.

• Responsible for invoicing and receipting and learning the PASS system.

• Performs other related duties as assigned.

Requirements: 

QUALIFICATIONS: Applicants must have at least one (1) year of specialized experience equivalent to the CS-11 grade level. Specialized experience is experience directly related to the line of work of the position and has equipped the applicant with particular knowledge, skills, and abilities to successfully perform the duties of the position.

Experience that equipped the applicant with thorough knowledge of administrative concepts and practices sufficient to enable the incumbent to recommend changes in administrative policies, devise and install procedures and office practices, and foresee administrative problems and requirements; and the ability to apply concepts, principles, and processes of office management to gather, analyze, and evaluate information; manage the office; and develop office procedures as required.

Thorough knowledge of the mission, organizations, functions, goals, objectives, processes, and resources of the Office of the Attorney General, Child Support Services Division in order to develop plans and carry out activities and to ensure effective office coordination. Thorough analytical skills, to perform broad and complex research tasks in a variety of program areas under short deadlines, and to plan, evaluate, develop and conduct studies. Ability to communicate orally and in writing in order to coordinate office activities; perform special projects; provide advice; present recommendations; and prepare memoranda, letters, and reports.

Ranking Factor #3: Understanding of standard operating procedures in order to advise on issues affecting the day to day operations of the office.
Ranking Factor #4: Knowledge of Microsoft Office including, Outlook, PowerPoint, Excel, Word, and Visio.
Ranking Factor #5: Ability to communicate effectively both orally and in writing.
